Effective from 1 September 2026

Follow-up appointments after 12 months

A follow-up appointment is for patients who have already seen that specialist at this Practice and who return for review as requested by the doctor.

If you do not arrange your follow-up within the time requested by your doctor, and more than 12 months have passed since your last appointment with that specialist, the booking will be treated as an initial appointment.

That means the initial consultation fee and the initial appointment time will apply, and a new referral may be required. The 12-month period is counted from the date of your last face-to-face or telehealth consultation with that specialist at this Practice.

Deposit for bookings within 5 business days

Appointments requested within five (5) business days of the proposed appointment time require a non-refundable deposit of $250 at the time of booking.

  • “Business days” means Monday to Friday, excluding NSW public holidays.
  • The deposit is applied to the consultation fee on the day of attendance.
  • If you cancel or reschedule with less than three (3) business days’ notice, or do not attend, the deposit is retained as the late cancellation / DNA fee in section 4.
  • If you attend as booked, any unused balance of the deposit is credited to your account or refunded after the consultation fee and any Medicare rebate process is complete.

We reserve the right to decline a short-notice booking if the deposit is not received.

Telehealth appointments — payment in advance

For every telehealth appointment, the full consultation fee must be paid no later than five (5) business days before the appointment.

  • Your booking is not confirmed until payment is received.
  • If payment is not received by that deadline, the appointment may be cancelled and offered to another patient.
  • Medicare claims (where you are eligible and a valid referral is held) will be submitted after the consultation on the day of your appointment. You remain responsible for the gap.
  • Telehealth appointments are subject to the same cancellation and DNA rules in section 4.

Technical requirements are your responsibility. If the consultation cannot proceed because you are unable to connect, the DNA fee in section 4 may apply unless we agree otherwise.

Cancellations, rescheduling and failure to attend

A minimum of three (3) business days’ notice is required to cancel or reschedule any appointment. Notice must be given during Practice opening hours by phone or email.

Late cancellation, rescheduling with less than three business days’ notice, or failure to attend (DNA) will incur a fee of $250.

This fee is charged because specialist appointment times cannot usually be filled at short notice. The fee is payable even if you hold a valid referral or are eligible for Medicare.

  • Notice given after hours, on a weekend or on a public holiday is treated as received on the next business day.
  • Changing an in-person appointment to telehealth is not treated as a cancellation or a reschedule and the $250 fee does not apply. The original appointment date and time should be kept unless otherwise agreed.
  • Repeated late cancellations or DNAs may result in discharge from the Practice.

We may waive the $250 fee where there is a genuine emergency or medical reason that prevents you from attending — for example urgent hospital admission or acute illness. Please contact us as soon as possible. We may ask for supporting information, such as a Medical Certificate, and will consider each request individually.

Fees, Medicare and payment

Consultation fees are set by each specialist and are available on request or on our fees page. Fees may change from time to time. The fee applicable is the fee current on the date of the appointment.

  • We are a private-billing practice. A gap payment usually applies after any Medicare rebate.
  • A valid referral is required for Medicare rebates. Referrals have expiry dates. It is your responsibility to obtain a valid referral.
  • Payment is accepted by card, EFT or other methods advised at reception. Any outstanding accounts may be referred for collection.

Fees for services outside a consultation

The consultation fee covers the booked appointment only. Other work requested outside that appointment is billed separately by the specialist. This includes, but is not limited to:

  • Email or written requests for medical advice from the specialist.
  • Repeat prescriptions (scripts) issued outside a consultation.
  • Forms and paperwork, including insurance, employment, Centrelink, driving or other medical forms.

Privacy

We collect and handle personal and health information in accordance with the Australian Privacy Principles and our Privacy Policy. By booking an appointment you consent to the Practice collecting and using your information for your care, billing, Medicare claiming and related practice administration.

Changes to these terms

We may update these Terms and Conditions from time to time. The version in force at the time you book an appointment applies to that booking. The current version is available from reception and on our website.
